Estates Administrator

Main Responsibilities
  • Property and Land Management:
  • Residential, general, commercial and agricultural tenancies/issues
  • Liaising with Matfen Hall Hotel
  • Marketing/viewings/lettings/tenancies/licences/records of condition/property inspections/rent reviews
  • Maintenance & repairs (residential, farms, footpaths, roads, trees etc) including external property inspections re external painting/general maintenance and meeting and liaising with advisers and contractors
  • Arranging electrical, PAT and fire extinguisher inspections as well as asbestos surveys, fire risk assessments and roadside tree surveys although he may still want me to arrange them.
  • Tenant/Contractor liaison
  • Consultant liaison re farming & forestry
Other responsibilities include:-
  • Manage the Estate Office, including server/computer software, telephone system and daily back-ups/office cover/cleaners
  • Manage Standing Stone Farm facilities/maintenance and repairs/fire alarm testing
  • Issuing monthly rent demands/liaise with Financial Administrator re arrears etc
  • Deal with sheep movement licences/update/reconcile Farm Matters when receive data from Farm Manager/liaise with ARAMs re purchase and sale of sheep/copy and distribute confirmation of sheep sales/tag numbers to estate staff/sheep tag orders etc
  • Maintain staff holiday records
  • Maintain website
  • Managing/improving properties to meet criteria for acceptable energy performance certificate ratings currently liaising with Energy Efficiency Surveys who are surveying all Estate Properties
  • Manage maintenance budget to ensure repairs and maintenance spend is kept within budget
  • Manage Estate and Vehicle insurance, liaising with insurance provider and dealing with all claims/amendments
  • Manage Hotel Mystery Guests Exercise liaising with Hotel directors and accounts department
  • Any other duties as required by the team/estate
Person specification:
  • Personable and communicative face to face, on phone and by email
  • Hard working and diligent
  • IT literate and good typing skills
Experience required:
  • Liaising with tenants regarding maintenance, issues and rent
  • Coordinating contractors for repairs and maintenance
  • Farm and Forestry estate administration and coordination
Experience desirable:
  • Domestic and commercial lettings including finding tenants, agreeing heads of terms, coordinating leases, record of condition, rent demands and renewals
  • Landmark Property Management system
  • Minor property refurbishments
  • Website management
Working hours: 09:00-17:00
