JOB TITLE:   Office Manager

REPORTING TO: Executive Director

WORKING WITH: Finance Officer, Project Co-ordinators, Marketing Associate

SALARY RANGE: £21,000 to £25,000 (commensurate with skills and experience)

JOB SUMMARY 

To provide high quality office support, administration, project and event management over a number of small projects – taking sole responsibility for some projects and working with colleagues on others. Success in this role relies on excellent organisation skills, a high degree of professionalism, accountability and self-motivation and the ability to work in a fast paced and varied work environment.

 

INTRODUCTION AND OVERVIEW

The Centre for Leadership Performance is a not-for-profit organisation working to support the growth of leadership capacity across Cumbria. We develop and carefully project-manage innovative programmes, working hand in hand with businesses and schools to encourage and nurture leadership within organisations, individuals and communities, working at all levels and across sectors.

To enable CfLP’s continued success and ambitious growth, an exciting opportunity has arisen for an Office Manager to join the CfLP team, based at their offices in Cockermouth.

The Office Manager will have a key role in ensuring that the delivery of work at CfLP is of high quality, on time and on budget. Activities are varied and the post holder will need to manage conflicting demands and be responsive to changing client needs.

As part of a small team they will be involved across all aspects of the business, from organising in-house and external events, planning and delivering client projects, setting up and improving office systems to managing diaries, welcoming guests and all the tasks involved in the day-to-day running of an office.

Organising in-house and external events

CfLP deliver several projects and programmes of work which often involve organising and running events, such as in-house short courses, external training, development workshops and recruitment events. The post holder is responsible for planning the event in line with stakeholder needs, liaising with relevant third parties, and delivering the events to agreed budget, quality and timescales.

Planning and delivering client projects

The Office Manager will have responsibility for a number of key projects, delivering high quality outcomes on behalf of businesses, schools and young people. They will need to translate stakeholder requirements into actionable project plans and manage their implementation. They will offer continuous monitoring, review and adjustment of projects to ensure they are of high quality, deliverable, and fit for purpose; working closely with colleagues, delivery partners and other stakeholders. They must communicate effectively with other team members to ensure each team member’s role in each project is clear and effective.

Setting up and improving office systems

As a small and busy team focused on delivery our processes and systems aren’t always as effective or efficient as they might be. Our plans for further growth will require efficient systems and processes to underpin this growth. The post holder will be involved in reviewing and improving existing systems alongside internal stakeholders to ensure they are fit for purpose and capable of supporting our anticipated growth.

Our projects are extremely varied (we will be working on up to 14 projects at any one time) and the role offers great job satisfaction as many of the projects offer real benefit to Cumbrians of all ages and abilities.

Experience is essential but you will be fully supported as you take over existing projects and manage new and emerging projects.

MAIN RESPONSIBILITIES AND REQUIREMENTS

  • Analysing – understanding business requirements, identifying areas for improvement, investigating issues and solving problems
  • Planning – defining and clarifying project scope, developing the project plans, scheduling, producing processes and procedures to support the projects’ objectives
  • Organising – organising resources within budget, while ensuring systems,processes and documentation are complete, current, and fit for purpose.
  • Leading – identifying resources, assigning work and managing day-to-day operational aspects of the projects
  • Controlling – keeping the projects on track, managing risks, taking corrective actions, and reporting
  • Collaborating – working closely with colleagues, external stakeholders, sub-contractors, associates and clients
  • Communicating – ensuring all parties involved in the projects are aware of roles and responsibilities
  • Delivering – taking responsibility and being accountable for the ultimate outcomes of the project delivery

GENERAL

Other Duties – We are a small and busy team and the duties and responsibilities in this job description are not exhaustive. The post holder may be required to undertake other duties from time to time within the general scope of the post. Any such duties should not substantially change the general character of the post.

Contract details – permanent full-time, 35 hours per week, 25 days holiday plus 8 bank holidays. We are open to discussions around flexible working, job share, part-time, annualised hours etc. Please indicate your preferences in your application.

Pension Scheme –  5% employee and 5% employer contributions

Policies and Procedures – The post holder is required to adhere to CfLP policies and procedures including current DBS and safeguarding requirements.

Health and Safety – The post holder has a responsibility for their own health and safety and is required to carry out the duties in accordance with CfLP’s health and safety policies and procedures.

PERSON SPECIFICATION

ESSENTIAL

Experience

  •  Demonstrable experience of working as an office or project manager
  •  Proven experience of delivering projects to desired outcomes and within quality, time, cost and project margin limits
  •  Experience of successfully working on multiple projects at the same time
  •  Experience of embedding new processes, functions and systems within the organisation.
  •  Proven experience of working with internal and external customers, partners and suppliers to deliver outcomes
  •  Experience using IT tools to support project management 

Skills

  • IT skills in the Microsoft Office suite and the Gmail environment
  • Ability to learn and use additional software packages such as CRM systems
  • Excellent communication skills (oral, written and presentational)
  • Excellent interpersonal skills with strong negotiating / influencing skills and the ability to build constructive business relationships and act collaboratively
