Due to company growth, we require a permanent part time Administration Assistant (22.5 hours per week) days worked can be flexible (one day preferred would be Friday) based in our Kendal Office.

Key Requirements;

  • Highly organised
  • Work to deadlines
  • Good Telephone manner
  • Strong knowledge of MS Word and Excel
  • Must be able to work well within a team with a warm outgoing personality

 

Desirable Requirements:

  • Sage Coretime knowledge (Timekeeping and Project Management system)

 

Role and Responsibilities:


The role of the Administrative Assistant is to assist the Finance and Practice Manager & Full time Administration Assistant with a range of office tasks to ensure the efficient running of the practice.


The post may have access to confidential financial information relating to the Practice and Personnel. A condition of employment is that this confidentiality is respected and all financial matters relating to the practice are only discussed with the Directors or Finance and Practice Manager.

The Main Duties are;

  • Answering the Telephone, receiving visitors and catering for meetings
  • Dealing with enquiries from clients and staff
  • Ensuring timesheets are completed and up to date
  • Some Marketing duties with our online system called Pipedrive
  • Formatting and preparation of letters, reports and other material
  • Booking train tickets, accommodation, car hire, conferences and exhibitions
  • Photocopying and printing, collating and binding of reports & other material
  • Ordering Stationary and consumables
  • Shredding, Filing, archiving including electronic filing systems
  • Implementing Health and Safety procedures and any other office procedures
  • Continuing support with our ISO 9001 accreditation to keep up to date
  • Assisting staff with workload where possible
  • Website updates with news items and new starters etc. (Word press)
  • Any other duties as appropriate to the post
